When people ask me how I manage multiple clients, projects, a home, a gym routine, and two kids — I smile.Because the truth is, I don’t “manage it all.”I plan it all.

Here are my time management and productivity tips that actually work — built from experience, not theory.

I use Toggl to track how long each task takes — not to limit myself, but to learn.Once you know how much time something really takes, you can plan better, charge smarter, and reduce overwhelm.

Forget the fancy software — I love creating Excel apps and dashboards for each project because it’s the only way I can build something truly bespoke to my needs.
I’ve used Asana, Monday, and other project management tools before. I love their collaboration features — but nothing beats the freedom of creating my own system. My Excel dashboards are free, flexible, and completely tailored to how I work.
Every tab has its own category: tasks, deadlines, costs, notes, and client updates. It gives me an instant overview of every moving part — no clutter, no confusion.
I even create client portals that can be viewed and edited in real time, with progress tracking and time logs included. Everything is transparent, accessible, and easy to follow.

3. Use Tech — But Don’t Let Tech Use You
If I’m driving, I record voice notes. If I’m at my desk, I write everything down.Every message, every reminder, every idea — because a written mind is a free mind.Once it’s out of your head and on paper (or screen), it stops spinning in circles.
You can even send voice notes to yourself using dedicated apps like Google Keep, Evernote, or Voiceliner — turning your thoughts into a living notebook you can revisit anytime.
I also have a WhatsApp group with myself, where I drop quick notes, screenshots, and voice messages when I’m on the go and don’t have time to organise anything. Later, I tidy it all up — moving each note to my priority list so nothing gets lost.
Even on my busiest days, everything gets written down. That’s my rule — because clarity begins with capturing what’s in your mind.

It’s customised exactly to how my brain works, which is why it’s so powerful.
Instead of bouncing between different tools, chats, and folders, I see everything in one clear, visual layout.
